Install Free-SchoolAI on your staff intranet
The whole library, 655 jobs, as a web page your IT team can host for your staff. Set your school’s details once and every prompt starts filled in.
What your staff get
- Search, shelves and moments in the school year across all 655 jobs.
- A page for each job: fill in what they know, copy the prompt, copy follow-ups when the draft comes back.
- Jobs that can become a pupil, staff or legal record clearly marked, with your own instruction on each.
- Your school’s details already in every prompt, and the AI tool you have approved named on every page.
What your IT team gets
- Plain HTML, CSS and JavaScript in one folder, or one single file. Nothing to install or build.
- No server code, no database, no sign-in, no cookies, and no calls to anywhere else.
- Staff details stay in each browser. Nothing is sent to this site or anyone else.
- Works with a strict content security policy. Every line can be read before it goes live.
Install it in four steps
- Download the package below and unzip it.
- Copy
library/config.example.jstolibrary/config.jsand fill in your school’s settings. Everything is optional. - Put the
libraryfolder where staff can reach it (see below). - Tell staff where it is, which AI tool to use, and that a person checks every draft.
The full guide for IT is inside the package as INTRANET.md, with a START-HERE.txt for everyone else.
Where it can live
- A school web server or cloud hosting
- Copy the folder and browse to
index.html. If the site sits behind your staff sign-in, so does the library. - SharePoint or Teams
- SharePoint does not run uploaded web pages, so host the folder on a web server first. Then add it to a SharePoint page with the Embed web part, or to a team as a Website tab.
- Google Sites
- Host the folder on a web server, then use Insert, Embed, By URL.
- A shared drive
- Copy the folder or the one-file version to the drive. Staff open it in Edge or Chrome.
What you can set
- Title and intro
- The heading and line your staff see at the top.
- School details
- Name, nation, phase, size and tone, filled into every prompt. Can be locked so staff cannot change them.
- Which AI tool
- A line telling staff which tool your school has approved, shown on every page.
- Record jobs
- What staff must do with jobs that can become a record, or hide those jobs altogether.
- Hidden shelves
- Leave out what you do not need, such as GCSE and sixth form in a primary.
- Who to ask
- A contact line in the footer.
- Your own prompts
- Add the school's own jobs on an "Our school" shelf.
Before you switch it on
- Agree with your data protection officer which AI tool staff may use, and for what.
- Decide whether a data protection impact assessment is needed for that tool.
- Decide what happens with jobs marked Record, and tell your DSL and HR lead.
- Tell staff that every draft is checked by a person with the right role before it is used.

Who this is from, and agreeing to these terms
Free-SchoolAI is a free set of prompt templates and a static web page, made available by Joshua Mangas free of charge under the Creative Commons Attribution 4.0 International licence (CC BY 4.0).
By using, downloading, installing or sharing Free-SchoolAI, you agree to these terms. If you do so for a school, trust or other organisation, you confirm you have authority to accept them on its behalf, and "you" means that organisation. If you do not agree, do not use it.
1. Provided as is
Free-SchoolAI is provided "as is" and "as available", without warranties, conditions or representations of any kind, whether express or implied, including any about accuracy, completeness, being up to date, fitness for a particular purpose, security, or being free of errors or defects.
2. Not advice
Nothing in Free-SchoolAI is legal, safeguarding, data protection, HR, employment, medical, financial, inspection, examination, educational or other professional advice, and it must not be relied on as such.
Guidance, frameworks and dates named in a prompt may have been changed or replaced. Always check the current official guidance and take professional advice where you need it.
3. Your decision and your responsibility
You alone decide whether and how to use Free-SchoolAI, and you are solely responsible for that use. That includes: choosing, approving and configuring any AI tool; carrying out any data protection impact assessment and complying with data protection law, including the UK GDPR and the Data Protection Act 2018; meeting your safeguarding, equality, employment, record-keeping and other legal duties; deciding what staff may paste into any tool; training and supervising staff; and reading, checking, correcting and approving every draft before it is sent, published, filed, relied on or used in a meeting.
Jobs marked Record can become pupil, staff or legal records. They must only be used in a tool your organisation has approved for that purpose, and the person who owns the record remains responsible for it.
4. AI tools and their output
A prompt cannot control what an AI tool produces. Output can be wrong, incomplete, out of date, biased, inappropriate or invented. Joshua Mangas does not provide, operate or control any AI tool and is not responsible for any tool, its output, its availability, or how its provider handles your data. Your use of any AI tool is governed by your agreement with its provider.
